The short version

  • Harmonic is free for teams of up to 20 people. We don't collect payment details.
  • Be decent to each other — the product exists to make teams kinder, not crueller.
  • What your team posts belongs to your team; we only use it to run the service. The software itself is ours.
  • If you invite your team, you're confirming you're allowed to add them and their details.
  • Playbooks and coach answers are AI-generated suggestions — useful, not gospel, and never a basis for decisions about someone's job.
  • We provide the service "as is", and our liability is limited to the extent the law allows.
  • Queensland, Australia law applies.

1. About these terms

Harmonic is operated by Harmonic Labs Pty Ltd (ABN 20 614 913 370) ("Harmonic", "we", "us", "our"). These terms govern your access to and use of heyharmonic.ai, app.heyharmonic.ai and related features (together, the "service"). Our Privacy Policy forms part of these terms. By creating an account, agreeing at sign-up, or using the service, you accept these terms; if you do not agree, please do not use the service. These terms are effective from 23 July 2026.

2. Who can use Harmonic

You must be at least 16 years old to use the service. If you use it for or on behalf of an organisation — your company, team or employer — you confirm that you are authorised to accept these terms on that organisation's behalf, and "you" includes that organisation. You are responsible for all activity that happens under your account.

3. The service

Harmonic is a team workspace: a working-style questionnaire, AI-written playbooks, recognition, check-ins, and related features that help teammates work well together.

The service is currently free for teams of up to 20 people. We do not collect payment details. If we introduce paid plans in future, we will update these terms with notice, and nobody will be charged unless they explicitly sign up to a paid plan.

4. Your account and security

You sign in with a one-time code sent to your email address — your email account is the key to your Harmonic account, so keep it secure. You agree to provide accurate information, to use one account per person, not to share your sign-in codes, and to tell us promptly if you suspect unauthorised use of your account. We may suspend or close accounts that break these terms or the law.

5. Teams, workspaces and inviting others

When you create a workspace or invite people into one, you take on responsibility for that workspace. You confirm that you are authorised to create it and to invite each person you add, and that you have any consents, notices or authority required under applicable privacy and employment law to provide us with their name and email address and to have them take part.

Where an organisation sets up a workspace, that organisation — not Harmonic — is the party responsible for its members' information and for the basis on which that information is provided to us; we handle it on the organisation's behalf, as described in the Privacy Policy. You agree to indemnify us (see clause 14) for any claim arising from a failure to have the authority or consents described here.

6. Your content

The content members create in Harmonic — recognition posts, comments, check-ins, profile details, questionnaire answers — belongs to the people and teams who created it. You grant us a worldwide, royalty-free licence to host, store, process and display that content solely as needed to operate and improve the service (for example, showing a playbook to teammates, or generating it in the first place). We do not sell your content, and we do not use it to train third-party AI models.

You are responsible for your content, and you confirm that it is lawful and that you have the rights to share it — it must not be false, defamatory, harassing, or infringe anyone's rights. We may remove content that breaches these terms. If you send us feedback or suggestions, you allow us to use them to improve Harmonic without obligation to you.

7. Our intellectual property

The service itself — the software, design, brand, the questionnaire, the archetypes and scoring, and all related intellectual property — belongs to Harmonic or its licensors. We grant you a limited, non-exclusive, non-transferable, revocable licence to use the service for your team's internal purposes while these terms apply. You must not copy, modify, resell, reverse-engineer, or build a competing product from the service, or remove our branding.

8. AI-generated content

Playbooks, coach responses and similar text are generated by AI from questionnaire answers. They are suggestions about working preferences —not professional, psychological, medical or legal advice— and they can be imperfect or wrong. You are responsible for how you use them. They must not be the basis for decisions about a person's employment (hiring, firing, promotion, pay or discipline) or for any other significant decision about a person, and you should verify anything important independently.

9. Acceptable use

You agree not to:

  • use the service unlawfully, or to harass, demean, threaten or abuse anyone — including through recognition posts, comments or check-ins;
  • post content that is unlawful, infringing, defamatory, or that contains malware;
  • attempt to break, probe, or overload the service, or access data belonging to other teams;
  • scrape or bulk-extract content that isn't yours, or use automated means to access the service beyond normal use;
  • impersonate another person, or resell or commercially exploit the service without our written permission.

10. Third-party services

The service runs on, and can integrate with, third-party services — for example our infrastructure and AI provider, Cloudflare, and, if you choose to switch it on, Slack. Where you enable an integration, your use of it is also subject to that third party's terms. We are not responsible for third-party services or for their availability.

11. Availability, changes and suspension

The service is provided "as is" and "as available". We may add, change or remove features. Because the service is currently free, we may modify or discontinue it, in whole or in part; for changes that materially affect active teams we will try to give reasonable notice. We may suspend or limit access immediately where we reasonably believe it is necessary for security, legal or abuse-prevention reasons.

12. Warranties and disclaimers

To the maximum extent permitted by law, the service is provided without warranties of any kind, whether express or implied, including any implied warranty that it will be uninterrupted, secure, error-free, or fit for a particular purpose. Nothing in these terms excludes, restricts or modifies any guarantee, right or remedy that applies to you under the Australian Consumer Law or other law and cannot lawfully be excluded — see clause 13.

13. Liability

Nothing in these terms limits liability that cannot be limited by law, including certain guarantees under the Australian Consumer Law, Schedule 2 of the Competition and Consumer Act 2010 (Cth). Where that or any other consumer-protection legislation applies and cannot be excluded, these terms are read subject to it, and if there is a conflict the mandatory provisions apply.

Subject to the paragraph above, to the maximum extent permitted by law:

  • Harmonic and its directors, officers, employees and agents are not liable for any indirect, incidental, special or consequential loss, or for any loss of profits, revenue, data, goodwill or business, however it arises;
  • our total aggregate liability for all claims relating to the service is limited to the greater of AUD $100 or the amount you have paid us for the service in the 12 months before the claim (currently nil, because the service is free); and
  • where we are permitted to limit our liability for failing to meet a consumer guarantee for services, our liability is limited, at our option, to re-supplying the service or paying the cost of having it re-supplied.

14. Indemnity

You agree to indemnify and hold harmless Harmonic and its directors, officers, employees and agents from and against any claims, losses, liabilities and reasonable costs (including legal costs) arising from your content, your use of the service, your breach of these terms or the law, or your failure to have the authority or consents described in clause 5.

15. Ending things

You can stop using Harmonic at any time, and you can ask us to delete your account or your team's entire workspace — see the Privacy Policy for how. We may suspend or terminate access for breach of these terms, or on reasonable notice. On termination, your licence to use the service ends and access stops; we will delete data as described in the Privacy Policy, except where we are required to keep it by law. Clauses that by their nature should survive termination (including intellectual property, liability, indemnity and governing law) survive it.

16. General

We may assign or transfer these terms, for example if our business is sold or reorganised; you may not assign yours without our consent. If any part of these terms is found unenforceable, the rest continues to apply. These terms and the Privacy Policy are the entire agreement between us about the service. A delay in enforcing a term is not a waiver of it. Nothing in these terms creates a partnership, agency or employment relationship between us. Neither party is liable for failure to perform caused by events beyond its reasonable control. We will send notices to your account email address; you can reach us at hello@heyharmonic.com.

17. Governing law and disputes

These terms are governed by the laws of Queensland, Australia. Before starting court proceedings, we each agree to try in good faith to resolve any dispute by contacting the other first. You submit to the non-exclusive jurisdiction of the courts of Queensland, Australia.

18. Changes to these terms

We may update these terms from time to time. For material changes we will notify you by email or an in-product notice, and the effective date above will change. Continuing to use the service after notice means you accept the updated terms.
